Director of Finance and HR
JOB SUMMARY
Description: The Director of Finance and Operations is responsible for financial and administrative oversight of the Museum, including budgeting and financial reporting, managing human resources, and overseeing facilities management. This position works closely with the Executive Director to develop, implement, manage, and report on the Museum’s financial and investment activities and to oversee critical HR functions including hiring and on-boarding, payroll and benefits, managing contractual relationships with various vendors, and updating HR policies and the employee handbook. You will be supported by an executive administrator who will handle much of the day-to-day paperwork, filing, and other routine tasks.
Education and Experience:
A bachelor’s degree in business, finance, accounting, or a related field. CPA and/or MBA is preferred.
A minimum of five years of progressively responsible experience in financial administration and accounting.
Strong computer skills and a high comfort level with technology. Proficiency with accounting and HR software (e.g., QuickBooks, ADP, Salesforce, and other relevant platforms) as well as Microsoft Office.
Organizational Structure: Reports to the Executive Director as part of the senior leadership team; oversees Executive Assistant, Finance and Facilities
Schedule: Full-time, salaried position (40 hours/week, Monday-Friday, 9 AM–5 PM with occasional extended hours as required). This role is not conducive to work-from-home arrangements, and candidates must reside in or relocate to the Dover, DE area, the Biggs Museum is located at 406 Federal St., Dover DE 19962.
Responsibilities
Finances
Manage the annual budgeting process for the Museum's operating, capital, and reserve funds.
Monitor cash flow and analyze financial results to ensure revenue and expenses align with the budget.
Prepare and present quarterly financial statements to the Board Treasurer and Finance Committee of the Board.
Review invoices, check requests, and credit card reconciliations, resolving discrepancies.
Collect and summarize financial data for grant applications.
Work with external accountants during the annual audit.
Human Resources
Manage the new hire onboarding process, including background checks, employee handbook review, and benefits education/enrollment.
Oversee payroll processing and benefits administration.
Conduct an annual review of the employee handbook to ensure compliance with federal and state laws.
Facilities
Oversee facilities, including maintenance and operations personnel.
Hire and manage vendors for building maintenance, landscaping, and other services.
Proactively anticipate and budget for capital projects and major repairs.
Manage vendor contracts for office equipment, IT, and security services.
Respond to emergencies and handle other duties as assigned.
Knowledge, Skills, and Abilities
Candidate must have a knowledge of generally accepted accounting principles, particularly as they apply to non-profit organizations
Candidate must be able to consistently meet deadlines for reports, filings, and timely payments. They must be able to react successfully to
changing deadlines and priorities and move forward with minimal supervision and oversight.
Strong organizational and communication skills, with the ability to gather, analyze, and communicate financial data and concepts effectively.
Knowledge of human resources policies and procedures.
Collaborative and goal-oriented mindset.
Attention to detail and the ability to exercise discretion and sound judgment in handling confidential matters.
Compensation
The position offers a salary range of $80,000 to $95,000 annually commensurate with experience, along with insurance benefits, IRA match, PTO, and more.
