Executive Office Administrator

Join a mission-driven organization supporting Delaware’s nonprofit sector. We are seeking a highly organized, tech-savvy Executive Office Administrator to support executive leadership, oversee board governance processes, coordinate office operations, and manage key HR administration tasks. The position is full-time located in Wilmington, Delaware, with a hybrid-remote option.
What You’ll Do:
• Provide high-level administrative support to the CEO and EVP, including calendar management, meeting coordination, and correspondence.
• Administer board meetings, communications, governance records, and compliance requirements.
• Organize and coordinate team meetings, leadership check-ins, and executive staff engagements, including agendas, logistics, and follow-up.
• Oversee office operations, technology systems, and administrative processes, enhancing efficiency and collaboration.
• Manage HR administration, including onboarding, records, benefits support, and policy compliance.
• Lead document management, policy tracking, and technology adoption across the organization.
What We’re Looking For:
• 4+ years in C-suite administrative support, office management, or similar roles in a professional services organization.
• Strong organizational skills with exceptional attention to detail and ability to manage multiple priorities.
• High proficiency in Microsoft Office 365 applications, Adobe, SharePoint, TEAMS, and familiarity with CRM or project management tools.
• Tech-savvy with the ability to identify and implement new technologies, including AI, with professional discernment.
• Experience supporting a Board of Directors, including meeting coordination and document management.
• Familiarity with HR administrative processes, including onboarding, records management, and employee policy implementation.
• Strong written and verbal communication skills, with experience engaging diverse internal and external stakeholders.
• Demonstrated ability to handle confidential information with discretion, sound judgment, and professionalism.
• Self-motivated, proactive, and capable of working independently and collaboratively.
• Effective project management skills and ability to coordinate multi-disciplinary teams.
• High emotional intelligence, including self-awareness, active listening, and the ability to foster collaboration.
• Receptive to feedback, growth-oriented, and motivated to meet deadlines in a dynamic environment.
• Comfortable working independently while maintaining accountability, especially in hybrid or remote settings.
In addition to a starting salary of $55,000 - $60,000 based on experience, DANA offers benefits including paid leave, health, vision, dental and retirement. DANA also offers the option to work remotely for a portion of the work week after the initial orientation period.
